SmileSecure Cancellation Policy

At Smile Secure, we strive to deliver powerful AI-driven solutions that simplify and scale operations for dental practices. We understand that circumstances change, and this policy outlines how cancellations are handled to ensure fairness for both parties.

30-Day Cancellation Notice

All active subscriptions and recurring services require a minimum of 30 days’ written notice for cancellation.

  • The notice period begins once your request is acknowledged by our team.

  • Services and billing will continue during this 30-day period.

  • No partial refunds are provided for unused time within the notice period.

Subscription-Based Services

(AI Voice Agent, Insurance Verification, CRM Automation, etc.)

  • Subscriptions renew automatically each month unless cancelled with 30-day notice.

  • Cancellations requested without 30-day notice may still be charged for the upcoming cycle.

  • Services suspended for non-payment are not exempt from the cancellation notice terms.

  • Reactivation after cancellation may require a new setup and fees.

Project-Based Services

(Website Development, Digital Marketing, Custom Setup Projects)

  • Milestone-based projects may be cancelled at any time before the next phase begins.

  • Completed phases are non-refundable.

  • If cancellation occurs mid-phase, a 10–25% administrative fee may apply.

  • Projects inactive for 30+ days without client communication may be marked as cancelled.

Setup Fees & One-Time Services

  • Setup fees and one-time implementation charges are non-refundable once work has started.

  • If you cancel before work begins, you are eligible for a full refund.

Refund Policy

  • Approved refunds (where applicable) will be processed within 7–10 business days to your original payment method.

  • Refunds are not available for partially used services, setup fees, or active billing cycles under notice.

How to Cancel

To cancel your service, please email us at hello@smilesecure.ai with:

  • Your registered clinic name

  • Service(s) you wish to cancel

  • Preferred effective date (must comply with 30-day notice)
